Building AI Workflows That Can Evolve With You

It is easy to get pulled into comparing tools or trying to pick a “winner.” Claude, ChatGPT, Copilot, OpenClaw, or whatever is "hot" this week or next. They all have strengths, and they will all continue to change. If your workflow depends too heavily on one tool’s memory, interface, or integrations, it becomes harder to adapt when things inevitably shift.


I have been spending time improving how I capture, refine, and reuse information across both my personal and business systems. Not in big redesigns, but in small, consistent changes. A few minutes here and there. Adjusting how something is written, where it is stored, or how it connects to the next step. Over time, those small improvements start to compound.


A key part of this approach for me is how I am working with my SOPs. Instead of keeping instructions locked inside a tool or scattered across notes, I have been creating them as plain Markdown files in a structured folder. That makes them easy to edit, move, and reuse across different tools.


Claude Cowork's ability to work within a folder has been helpful for working with my SOP files, especially when paired with a folder that it can access and iterate on. This approach has been influenced in part by ideas from MacSparky’s Robot Assistant course (referral link).


The broader idea is to keep your work portable. Whether it is SOPs, content, or internal knowledge, there is value in storing it in formats that are easy to move and improve. This makes it easier to test different tools, connect workflows, and avoid starting over each time something new comes along.


In a world where AI is evolving quickly, this kind of steady, incremental improvement becomes more important. It is easy to feel like you need to make big changes to keep up. In reality, making small adjustments every day is what builds a system that can keep pace over time without becoming overwhelming.
