Automating the Repetitive to Gain More Time

Let’s talk about a powerful automation trigger that I like to refer to as "The Every Rule." Anytime you hear or say "every time we..."—whether it’s onboarding a client, making a sale, or launching a new project—that’s your signal. It indicates repetition, and where there’s repetition, there’s room for automation. Repetitive tasks are perfect candidates for automation because they free up your time, allowing you to focus on activities that really move the needle in your business.

Yesterday, I had a real-life example of this principle in action. My wife and I are currently designing a new house, and she’s been picking out various fixtures for our bathrooms. She had over 40 items—faucets, tubs, and more—in an online shopping cart and wanted a way to visually organize them for each room, complete with links and details. This sounded like a perfect use case for Trello, but neither of us wanted to create 40 individual cards manually.


That’s when I turned to a simple Chrome extension called Instant Data Scraper. It’s a brilliant tool that scans a webpage and pulls all the data into an Excel or Google Sheet. Within minutes, I had all the items from the shopping cart neatly organized into a spreadsheet. From there, I set up a Zapier workflow that automatically created a Trello card for each item, complete with images and prices.


In about 12 minutes of work, I transformed a tedious task into a streamlined process, leaving us with an organized Trello board of fixtures, ready for review and finalization.


The lesson here is that automation doesn’t just save time—it compounds over time. You’re not just automating one task, you’re building skills and systems that can be applied again and again.
