I’m currently driving to IKEA—and no, that’s not something I usually recommend outsourcing. But hear me out.

We’re moving into a new house nearby, and I love IKEA closets. Great quality, tons of accessories, and easy to integrate with TaskRabbit (which IKEA now owns). TaskRabbit can price out and install your whole system with just the design code. It’s seamless. Except… we were missing six pieces. And because the order was split, IKEA won’t deliver just those six.

So I’m driving an hour each way to get them myself. Could I have someone else do it? Sure. But this is productive time. Thanks to asynchronous communication and the fact that I can run my life entirely from my phone, this trip becomes:

• A focused content creation window (you’re reading it now!)
• Admin time (I signed a home inspection doc, reviewed architectural plans)
• A chance to test Carbon Voice’s new pause recording and AI catch-up features

That’s the point: if you can run your life and business from your phone, there’s no such thing as downtime. It doesn’t mean you’re always working—it means you’re always capable.

But here’s the thing:

The best way to have efficient meetings is to avoid having meetings.

The real fix isn’t a new format or template. It’s changing your default from “let’s meet” to “let’s solve this async.”

• Email isn’t enough? Use Carbon Voice or Loom.

When meetings are the last resort, they’re short, focused, and high-impact.

Meetings should never be your go-to. Just like outsourcing shouldn’t be your first step, neither should a 60-minute sync.
